If you are managing a basketball pool of NCAA brackets, or you know someone who is, please feel free to download the NCAA Basketball Pool Manager file. This is used in conjunction with the basketball bracket file to automatically tabulate results, highlight winners in brackets, and cross out losing games. It allows scenario generation and modifying of point totals for each round (since each person prefers his/her own point total weighting, it allows for some customization).
Please feel free to share these files, but I ask that you reference this site when you do so. Also, these files are intended for not-for-profit use.
Note:The files are already populated with the 2010 NCAA tournament field, but I did not make any programming enhancements over last year's version.
March Madness Excel Bracket
Click here to download the basketball bracket. When prompted, choose to save this file to your computer (the desktop is fine). Microsoft Excel is needed in order to use this program. It works best when macros are enabled (see below for info on macros). If you cannot use macros (because of security settings or personal preference), you will not be able to one-click to advance teams, but the bracket is still very easy to complete. Many thanks to Tom Szarek for developing the macroless capabilities.
You will find instructions on the first tab for filling out the bracket (it just involves clicking). The basketball bracket is on the second tab. Once done, save the file and submit it to your pool manager.

Note: This has been extensively tested using Excel 2002 (part of MS Office XP) and Excel 2007 on Windows XP and Vista platforms. You may see errors if you use this file on a different Excel/Windows version or on a Macintosh computer, but these should not cause any damage to your computer. Macros
How to do I enable macros to use the Bracket file?
Excel 97-2003
When opening the document, select ENABLE MACROS when prompted to do so. If you are not prompted, check your security settings under: Tools... Options... Security... Macro Security... [set your level to "Medium", then click OK twice]. Once this is done, close Excel completely and reopen the document.
Excel 2007
After the document opens, click on the "Options…" box at the top of the screen. In the following window, click "Enable this content" and then "Ok".
What is a macro?
When talking about Microsoft Office (Word, Excel, etc), a macro is a piece of hand-generated code that adds functionality to the software application; the code is written in the "Visual Basic for Applications" language and is part of the Excel file. In the case of the bracket, I wrote code to automatically advance teams through the bracket when you click on the team names; this is not something that Excel does normally, but through macros I could tell Excel exactly what I want to happen.
What is the exact macro code in the bracket file?
Good for you to ask. Open the Excel document and press Alt-F11. This will open up the Visual Basic editor, and by clicking on sheet and module names on the left side of the screen you will be able to view all code.

ReplyDeleteI used your spreadsheet last year and I loved it. Iv'e downloaded the 2 files a few minutes ago for 2010. When I open the brackets file I cannot click on any team for my selection. I have enabled macros but when I hover cursor over a team I have a cross displayed, not an arrow which I believe I need to advance teams to the next round.
Any suggestions on what I ay be doing wrong. I'm going to be the pool manager so Iv'e downloaded bothe files.

ReplyDeleteDavid - Once all the brackets are populated into the Pool Manager file, click on the MasterBracket tab to advance the winners. That will update the scores automatically. To "Generate Scenarios," just advance different teams on that same MasterBracket tab (but then don't save the file).

I am trying to upload a single bracket to the brakcet manager....it is not working. When I go to the file where the saved bracket is, it is not showing up.

When I click on leaders I see the one I updated with the correct names for the final four and main winner. How do you get the individual brackets to show up once they are uploaded? ReplyDeleteSorry, I couldn't replicate your single bracket upload problem. I just made up some test brackets, saved them, and uploaded them into the Pool Manager file. It worked fine for me. I tested it with Excel 2002 and Excel 2007 (on a Windows Vista machine). If you're using another version of Excel (particularly if it's an older version), that may be the issue.

When I do the import of a bracket it appears to work fine. But when I click on individual bracket I get errors on the name (value not available error) also on all the teams I get the same thing. I am using Excel 2002 and I tried it on both XP and Windows 7 with the same error. I downloaded again after reply to Chrissy.
ReplyDeleteClicking to advance the teams works fine for me (at least in Excel 2002 and 2007). Note: There is a long delay for the first team that is clicked. For each team after that, however, it seems to be working fine. [Note: In the PoolManager file, you can only advance teams on the MasterBracket tab. The IndivBrk and PercentBracket tabs update automatically.]

It took me 7 years of working sporadically on this each March to get it to its current state, so keep making incremental improvements to yours. There is no "right way" to build a bracket, and even if there were, I'm sure mine would not be it. Be creative, keep working on yours, and I'd love to see how you develop it.

ReplyDeleteWhen I started my job 2 years ago, I was horrified come March to see paper brackets floating around our pool manager's desk with different color highlighters and pens notating the winners and losers. For whatever reason, people were against using an online service, so I began developing an Excel file to track every aspect of our brackets.
When I stumbled across your site today, I was amazed at the similarities in our files. While yours is put together much better (I have oodles of hidden columns that are doing calculations you have simplified into a few commands... what can I say, I guess I'm a rookie). Anyways, there are two features in your file that i really like and wondered if you might share your secret.
1) I understand how to create hyperlinks, but I can't figure out how you've programmed the file such that simply clicking on a team advances them to a specific destination cell. I am currently using drop-down menus which are nice, but the simple clicking feature is much more desirable... how do you do that??
2) I too have a summary page that updates people as to their standings, max points possible, etc... Thing I can't seem to figure out is how to make that sheet auto-update. Obviously when I input the true game winners, updates scores are reflected, but how do you make the list automatically re-order itself? I'm currently using a "Custom Sort" every time I want to update the standings and your system is so much nicer!
Anyways, I know you don't have to, but any help would be greatly appreciated! I absolutely love Excel and am always looking for opportunities to expand my knowledge...

I have been running my bracket pool for 22 years. My spreadsheet system requires a lot of data entry on my part. I've downloaded your bracket manager to use simultaneously with my own this year, but I want to keep my own unique upset scoring system. I reward upsets by taking the difference between the seed that advanced and the seed that was expected to advance and multiplying by the round. For instance, if an 11 seed defeated a 6 seed in the first round, my system would reward the participant 5 upset points (11-6)*1. If the 11 seed went on to defeat either the 3 seed or the 14 seed in the second round, my system would reward the participant 16 upset points (11-3)*2. Is there some way that I can modify your spreadsheet to use my scoring system? I would be forever in your debt.
ReplyDeleteDan - I don't have time this year to implement that into that system into the workbook, but I can tell you where to look to get you started.
ReplyDeleteYou'll need to tinker with the GameInfo and Picks tabs (both hidden by default). That has a column for "WinnerSeed", so you'll probably want to add a column that calculates the difference between the Winner Seed and the Expected Seed (then multiplied by the round). Use that column to feed the formulas in Picks!CC:CI. The formulas in Picks!CC3:CI3 are automatically copied down for each new entrant, so get it right in row 3 and it will update for the rest. However, I suggest playing around with test data and messing with the formulas in rows 4, 5, etc. (and then copying the formula in row 3) since doing it abstractly would be exceedingly difficult. Also, make sure you set the scoring system to "Update" on the PoolMgmt tab.
If you're good with Excel, it shouldn't be too bad. Please send me the file if you get it to work... maybe it's something I can incorporate for a future year.

Yes, it will still work fine. The users will see an error message, but it won't affect the pool manager file. In fact, the pool manager file doesn't even import the email addresses. They're more for the reference of the person collecting brackets.

I probably wouldn't put in the email functionality because a) additional complexity of working in two programs; b) need for flexibility in email customization. However, there is potential for an easier fix. One could import the email addresses that are on the bracket files and store them in the pool manager file. Then one could add functionality to export a spreadsheet with email address, score, ranking, etc. This spreadsheet could be used as part of a mail merge with Outlook to send emails to each participant.

ReplyDeleteBe sure to read the Instructions tab very closely. A few other people had issues (as seen in the comments), but they worked them out. I've re-tested this a few times on Excel 2002 and 2007, and it is working fine for me, so unfortunately I can't offer ideas of what else might be wrong.
Can the excel file be changed so that this could be used for the women's tournament as well? If so would it still work with the pool manager?
ReplyDeleteYes, it will work fine. As long as the teams on the MasterBracket tab exactly match the teams on the Bracket that you send out to participants, you'll be fine. [that said, there MAY be issue with the click-to-advance not working if the teams are overwritten. That's an annoyance, but it won't affect any other usability functions. If that happens, let me know.]

ReplyDeleteI've managed to incorporate your method of "Click to advance" in my own bracket spreadsheet. Your method for importing brackets and viewing individual brackets is still far superior to mine. I'm tempted to just use your file, but I've already sent out my file to pool participants (and modifying your PoolManager file to accept my input brackets just doesn't seem worth my effort. Haha).
Anyways, I'm writing because I've encountered one warning message that I can't seem to get rid of. After creating the hyperlinks for the 1st round (a bit of a tedious task, but hey... I only have to do it once a year), teams advance flawlessly to the 2nd round. The warning message pops up when trying to advance teams beyond the 2nd round. Excel is properly advancing the hyperlinks, but when I click on the new link, the warning message "Reference is not valid" appears. Once I click "OK", the team advances correctly, but the warning message gets annoying after a while.
I clicked to edit one of the advanced hyperlinks, and it's trying to reference cell A1 (instead of the host cell). Any idea why this is? Or ideas how to fix it? Heck, I'd be fine with just finding a way to suppress the warning message since everything seems to still be working properly.
Anyways, you might not have time to figure this one out, but I just thought I'd throw it out there in case you knew of a quick fix.

George - not sure why you'd be getting that error, but it might have something to do with how the hyperlinks were created.
ReplyDeleteTo create mine, I use code that is in the PoolMgr file but currently commented out. In the code for Sheet6(MasterBracket), un-comment the sub procedure at the bottom of the code page, then click on each of the 64 teams. Be careful to click ONLY on the 64 cells with teams in the first round and do NOTHING else before return to the Visual Basic Editor. Then, re-comment that sub procedure so you have it for future reference.
Also, notice the IF statement right about that part (it starts with If Target.Parent.Address "$G$35" And Target.Parent.Address "$I$35" Then). The next line down adds hyperlinks for other teams that advance through the bracket, so that may be what you need.

As long as you have your own webspace, you can export the leaderboard to an HTML file and upload that to your space. Every time you make a new HTML file, just overwrite the old one and your participants will see the latest standings. To export, click the "Create HTML leaderboard file" link on the PoolMgmt tab; just make sure you specify a destination on your hard drive first.

ReplyDeleteI had one question though. I'm playing with a group that allows you to pick the first two rounds and then re-pick the remaining rounds. Is there away for the pool manager to be adapted to allow for this sort of game?
Vikki- As of now, there is not way to have that functionality. The only thing I can suggest is to have two separate pool manager files (FileA and FileB). The MasterBracket on FileA will only have the first two rounds filled in, thus the leaderboard will reflect point totals for those rounds. Then next week (prior to the Sweet 16) you can send out a bracket to your participants with the winners of the first two rounds filled in. Participants will make picks, send the brackets back to you, and you'll import the brackets into a separate Pool Manager file (FileB). Everyone will get full points for the first two rounds in FileB, thus it's the same as starting at 0. You will complete the MasterBracket in FileB for all remaining rounds. Then add the LeaderBoard scores from FileA and FileB and you'll have your champion.

Greg- You can just put dummy numbers in for the phone number (e.g., 1234, 8888). The only time you NEED those numbers is if you have two people with the same name in your pool. In that case, you NEED those numbers to differentiate between "Smith, John (1234)" and "Smith, John (8888)."

I am trying to change the upset calculation to accommodate our pool point system, but no matter what I put in the Pick sheet CC3 formula it blows up the calculation to exponential #'s...I know enough with Excel that I thought I'd be able to change it, but this one I just can't figure out. My pool points system is:
ReplyDeleteFirst Round (round of 64) – 1 point for a winning favored team picked and 3 points for a winning underdog team picked.
Second Round (round of 32) – 3 points correct favored team and 5 points correct underdog.
Third Round (sweet 16) – 5 points correct favored team and 8 points correct underdog.
Fourth Round (elite 8) – 8 points correct favored team and 12 points correct underdog
James - I took a quick look, and I don't think there is an easy way to make that switch. It's do-able, but would take some more formula work. I'll keep it in mind for future updates of the program.

ReplyDeleteThank you for sharing your hard work. This is exactly want a pool manager should be. A suggested improvement would be to have the percent bracket have the percentage of people that choose each team before the game is played. i.e. Syracuse and Butler play tonight in the Sweet 16. Have cell E41 the Team A (Syracuse), E42 the percent of people that chose them to win, E44 the percent of people that chose Team B, E45 as Team B (Butler). Another improvement would be to have max games won as well as max point possible.

ReplyDeleteI have entered pools that give extra points for upsets. For example, when Kansas was upset, No. Iowa not only received the points for that round, they received an extra point {S} for the upset. Nice twist.

Just wanted to say that this excel sheet you've built is fantastic. I used it for the first year, and so happy to not have to manually score brackets anymore. The only suggestion I had was to add another type of upset scoring system. In mine, for the first round only, I award the difference in seed plus the one point for a correct pick in an upset. I did that manually, which wasn't too difficult. But that's about it. Otherwise, thank you for your hard work.

Is this a wildly impossible pipe dream, or is there a way to make this happen?
a weighting function would be great how about a column which would apply weighting such as seeding + round points so a #1 seed in round 1 would be 1 points. a 5/12 upset would be worth 12 points, round three would be #1 seed win is 4 points a #8 seed would be 8+4 or 12 points again or 3X. the weighting becomes less as the rounds continue.
ReplyDeletefor a final four a #1 seed would get 16points a #8 seed would get 24 points only a 30% gain or 1.3X. this will encourage those to coin flippers to try for the underdog and have a livlier bracket!
Allowing for alternative scoring systems is a high-priority goal for the pool manager file. It won't happen for 2011, however (sorry), as I'm too busy trying to build in the expanded 68-team field. The good news is that in the process I'm overhauling the scoring mechanism and moving a lot of it from formulas to code (VBA macros). By doing more in code, it will make it much more flexible and scalable, which means I can add more potential scoring methods each year. Keep the ideas coming!

Awesome bracket manager! This takes all the work out of running an office pool. Thanks! One suggestion I have is to include each participant's final four picks on the leader board. I always get requests from people to see their competition's final picks (I think they do this so they can find some hope after disaster 1st and 2nd rounds ;-). To further explain, the leader board would then have something like: Rank, Name, Points, Final Four. Maybe even with the champ highlighted. Just a thought.

I'm a little confused by your instructions for upset scoring. I don't see any information in the cells for the hidden sheets (i.e. CC3, etc.). Is this something we should look in the macros for?

The formulas for Upset scoring are in Picks!CC3:CH3. If you modify those BEFORE importing brackets, they'll copy down the table and calculate points based on the system you want. The hardest part is writing the right formula for each round's games.

Our pool is done on a round by round basis (5 rounds), so I have 5 different Pool Manager spreadsheets I'm using. Can you think of any easy way to get a cumulative results leaderboard that would add the scoring from the 5 pool managers?

The only update I would suggest for next year is a total possible points category. It would help to break up some of the ties on the leader board.
ReplyDeleteI used last years bracket and pool manager for 2011. I am running a type of a bracket challenge where everyone gave me a hard copy of their picks and I entered all 99 brackets. The scoring is causing me some major headaches and I am afraid that I am going to have to reenter all of the brackets. It is not counting Michigan, Wisconsin, Florida, or Kansas as wins. For instance most people have Kansas going to the final four. If I click on the individuals bracket there is a red line through them, but on the scoring sheet it doesn't have Kansas eliminated from their final four picks. In the end it's not counting these teams as wins so the scoring isn't straight. Is there an easy fix for this besides starting over with the 2011 bracket and manually entering all of them again? Thanks!

ReplyDeleteSure. Just put all the pool manager files (for each round) in the same folder. Then created a 6th workbook that links to cells on the other 5. I don't normally recommend linking to external workbooks, but in this case it makes sense.
